“Here in the Berks County PA Recorder of Deeds Office we have been manually keying data for our historic documents for many years. Before the mid 1980’s the only way to search for and locate specific documents was through several series of paper index books. The latest series of index books from the mid 1960’s through the 1980’s had been prepared by entering the data into an old computer database but only intended to be used to format and print a set of physical books. Luckily our IT department had been saving that data for decades and we could easily convert that to a modern spreadsheet and add it to our records management system.

That was not the same for our older index books which were hand typed 90 to 100 years ago. Since up to this time the data in these index books could not be converted to a computer file we have been keying the data from the actual document, entering the date of recording, the property location, the names of the property owners and linking that to the image of the actual document. This has been a multi-year very labor consuming project.

Recently I gave samples of those old index books, to Parse AI and they quickly converted all of the typed text to a simple electronic spreadsheet. They were able to convert over 160,000 lines of typewritten text into a format that we can easily import into out Records Management System, making all of those documents easily accessible to commercial title searcher and historians.

I estimate that the conversion of this data from paper to electronic spreadsheet will save over five years of my staff’s time, compared to how long it has been taking to do the same work by hand, reading and typing the information from each document. This frees up our time for other important work preserving our most historic documents.

“The Suwannee County, Florida Clerk’s Office has well over 150 years of records that document our County’s history. The first 60+ years’ worth of records were handwritten, and staff and volunteer work to convert County Commission and City Council minutes into something that could be easily searched was moving slowly due to the nature of the work. But then I was introduced to Parse AI.

Taking some 3,000 pages of handwritten minutes from the mid-1800s to early 1900s, Parse AI was able to successfully transcribe these documents in less than two weeks, not years as would be the case for manual transcription. I was impressed not only because of the conversion itself, but because of the high accuracy even when some of the original microfilm scans were of poor quality. This conversion eliminated countless hours of manual transcription work, resulting in significant time and cost savings to our office. Furthermore, the output was provided in a format that allows staff to easily edit and correct name misspellings, further adding to its usefulness.

These records, once difficult to read and research, have now been transformed into searchable, editable documents. As a result, these historic records will now be far more valuable to researchers and staff while saving countless hours of research time.

Original page numbers were included within the final text output, making verification of the extracted data against the original scans quick and easy.
